New Hire Orientation
The employee handbook is intended to provide answers to many of the questions that may arise in an employment relationship. Employees may also contact the Human Resources Office for clarification of any work rule or contract interpretation.

CCC Staff ID Card
Your staff ID number will be available to you after your first day paperwork has been completed and processed through the HR office. Your ID number is available in the HR office, your department administrator or the registrar’s office. This is the number you will use to access the myClackamas system.
To obtain your CCC staff card, contact the registration office in Roger Rook.
College Closure/Flash Alert
The college will make every effort to notify employees as soon as possible should hazardous or emergency conditions (including inclement weather) force a closure. Rave Alert is Clackamas Community College's phone, text message and email emergency notification system. It allows you to quickly receive emergency communications and other important information via phone, text message and email. Rave Alert system will NOT charge you in any way. You should review your profile periodically to ensure that it is up to date.
To manage your account, go to www.getrave.com/login/clackamas. Your CCC email username (e.g., John Smith) and password is your login and password for Rave Alert. If you need assistance, please contact the Public Information Officer at firstname.lastname@example.org or 503-594-3162.
If the college closes for any part of a regular business day, employees will not be expected to use their paid leave unless previously scheduled. If, however, the college is open and the employee chooses not to attend due to hazardous conditions, then the employee will submit a leave request to a supervisor. In the case of a midday closure, employees need not submit a leave request.
Web Time Entry and Leave Requests
CCC uses an electronic time sheet and leave request system. You will enter your time monthly, between pay periods running from the 20th to the 19th, and submit for supervisory approval. Employees are paid on the last working day of the month.

Part-time faculty are paid on assignment contracts (stipends). Your stipends are viewable through myClackamas/Employee Information/myStipends. If you have questions regarding your stipends, contact the administrative assistant in your department.
Fringe Benefits: PERS, TSA, EAP
PERS - CCC is a Public Employee Retirement Systems (PERS) employer and contributes 6 percent of employees' earnings. Employees of CCC cannot contribute additional money to this account. Employees must be employed six months before becoming a member, unless transferring from another PERS eligible entity.
Employee Savings Opportunities - CCC offers all employees the opportunity to sign up for a 403b or a 457 deferred compensation plan to help save for retirement.
Employee Assistance Program (EAP) - The college provides access to EAP through Reliant Behavioral Health. This is a confidential help service.

Leave Plans / Absences / Holidays / Academic Calendar
Leave Plans - CCC offers many types of leave for employees based on their primary position. These leaves may include: vacation, sick, compassionate/bereavement, jury duty, military leave, parental leave, family leave and personal leave.
Absences - Employees who are absent due to illness or injury are required to keep their supervisor(s) informed. The supervisor may require a licensed physician’s signed statement or other management-approved verification of illness or injury for each period of absence of three or more consecutive days.
Holidays - The following days will be paid holidays when occurring during an employee’s scheduled term of employment:
- Independence Day: July 4
- Labor Day: First Monday in September
- Veterans Day: November 11
- Thanksgiving Day: Fourth Thursday in November
- Friday after Thanksgiving: Fourth Friday in November
- The working day before or after Christmas: Varies
- Christmas Day: December 25
- New Year's Day: January 1
- Martin Luther King Jr. Day: Third Monday in January
- Presidents Day: Third Monday in February
- Memorial Day: Last Monday in May
If a holiday falls on Saturday, Friday will be observed as the paid holiday; if a holiday falls on Sunday, Monday will be observed as the paid holiday. In the event that New Year’s Day or Independence Day occurs on a Sunday, the college may schedule the holiday on the preceding Friday.
Academic Calendar - Schedule for the academic year showing when each term begins/ends, when the college is closed and the date of graduation.
Employees have the responsibility to notify the Human Resources Office immediately in the event there is a change in name, address, telephone number, number of dependents, marital status, beneficiaries, etc.
All employees will have a personnel file in the Human Resources Office. Copies of materials in an official personnel file shall be confidential and shall be restricted for use to formal institutional meetings, normal administrative requirements or when otherwise required by law. Excluding confidential material secured by the college during the employment process, each staff member shall have access to their own personnel file during normal business hours. A staff member shall have the right to read all material and append to it answers to any charges, complaints or statements therein contained.
The Board of Education declares that the policy of CCC is to adhere to the provisions of U.S. Copyright Law. The policy represents a sincere effort to operate legally. The Board directs the administration to provide college employees, contractors and students with guidelines that clearly discourage violation of copyright law.
Injury / Illness / Incident
If you are an employee and are (or will be) seeking medical treatment for a work-related injury, you must check in with Human Resources as soon as possible to obtain your workers' compensation claim form and rights statement. Completed reports must be sent to the director of Campus Safety within 24 hours of the incident.
The Federal Occupational Safety and Health Administration has revised the way employers will communicate hazardous material information to employees. In turn, Clackamas Community College is required to implement this Hazard Communication Standard for general industry to align with the Globally Harmonized System (GHS) of classification and labeling of chemicals. The keys changes in the Hazard Communication Standard affect both chemical suppliers and employers whose employees may be exposed to hazardous chemicals. As a community college that has exposure to a myriad of chemicals in various areas around campus, we are REQUIRED by Oregon OSHA to train everyone in these changes.

FERPA Information / Release of Student Information
FERPA has to do with the release of student information. If you have access to student information in your job, you will be contacted by the registrar to complete FERPA training. “The Most Important Things to Remember about FERPA” is a document that the registrar’s office enforces in accordance with Family Educational Rights and Privacy Act of 1974. As an institution, we are obligated to follow these guidelines.

Sexual Harassment Information
The college maintains a working environment that is free from any form of sexual harassment. Sexual harassment is defined by state statute to include any unwelcome sexual advances, requests for sexual favors, sexually motivated physical contact or other conduct or communication of a sexual nature. Anyone who is experiencing sexual harassment or who has questions concerning sexual harassment, should contact the HR office. Administrative regulations on sexual harassment are covered under AR 610.
Clackamas Community College does not allow harassment of any kind to you or by you. If you have difficulty with this, please call the dean of Human Resources.
Policies & Complaint Procedures
The CCC Board of Education is committed to nondiscrimination and an environment free of harassment, based on an individual’s protected class or race, color, national origin, religion, sex, age, disability, veteran status, sexual orientation or marital status. The policy prevails in matters concerning staff, students, the public, educational programs and services and individuals with whom the Board does business.
Complaints regarding the interpretation or application of the college’s nondiscrimination policy shall be processed following the discrimination complaint procedures, utilizing the complaint form and filing the form with the compliance officer.

All employees of CCC are considered mandatory child abuse reporters and have a legal obligation to report suspected child abuse or abusers under Oregon law. The duty to report suspected child abuse as a mandatory reporter is a 24/7 responsibility. This legal duty is personal to you as a community college employee and applies whether or not you are on work time. As a community college employee, you must report when you have “reasonable cause to believe” that any child with whom you come in contact has suffered abuse or that any person with whom you come in contact has abused a child. You must immediately report the suspected abuse or abuser to local law enforcement or to the local Division of Human Services office.

CCC is governed by a Board of Education and has an elected representative for each of the seven zones that make up the college district. The Board oversees the development of programs and services, the adoption of policies and budget, to meet the needs of the college district.
